Participant Listing for Volunteers to See

Vanessa,

This is per your request to post the question on the forum.

If someone registers to work a particular date/time, they can't check the calendar to see if they're on the list to work. So occasionally someone will register twice for the same date/time. We think having a list of registered names available to the volunteers for any date/time could be helpful.

Yes, a listing of participants can be made available for any event for which you wish to expose this information. There are several options for what information is exposed from Name Only to Name, Email and Register Date.

  1. Navigate CiviCRM -> Events -> Manage Events
  2. Click Configure -> Info and Settings for the event(s)
  3. Select the appropriate list from the Participant Listing drop-down.
  4. This is where it gets a bit tricky: Click the Help balloon to the right of the instructions that are just below the Participant Listing field.
  5. At the bottom of the popup is the URL for a participant listing page.
  6. Highlight and copy the URL.
  7. Create a link in your Complete Description field to the URL (or anywhere you want to house it - maybe something like "View Participants").

If you have any difficulties seeing the listings when you're not logged in (i.e., as an anonymous user) or get an error message saying "You are not authorized to see this page." send us an email: info@gingerfeet.com and we will make sure that your Drupal permissions are correct for anonymous users.

How do we get the type of volunteer they are to show along with their name?

Hi Deb,

With the participant listing you can expose the Name, the Name and Email, or the Name, Status (i.e., registered, pending, etc.) and the Register Date.

When you say type of volunteer do you mean ReStore vs Construction?

It's Jodie :D We would like our public construction volunteer project listing to include the custom volunteer types we have created. So, the list would have their name, type (partner family, skilled volunteer, youth, etc). Does that help?

Yeah, at this point it's just the Name, Name & Email and Name, Status, Register Date. :cry:

We'd have to customize your participant listing template. Want to submit a Feature Request??? :)

Is this information you want public? Or just internal? If you want it internal, there might be a way with a search view profile that you can return the fields you want to see.

We'll start doing some research on what's needed to make this happen. Or if it can. I think we should be able to access that field, but Conrad's the dude that will be able to tell us.

I followed your instructions to display the participants for HouseWalk. Only four out of 14 are showing and I can't figure out why all 14 won't show. HELP :(

Hi Deb,

If you do a search on the participants [Search -> Find Participants -> Event Name (House Walk 2011)], you'll see that all but those 6 are in pending status (either pending pay later or pending incomplete transaction). The event participant listing will only display those participants that are Registered or Attended.

I'm wondering why all the incomplete transactions?
